$45,000-$55,000 per year About Us Elevate Recovery Centers is a leading behavioral health and substance use treatment provider dedicated to helping individuals achieve lasting recovery. We are seeking a highly organized, professional, and detail-oriented Office Administrator to support the daily operations of our treatment center and help ensure an exceptional experience for clients, families, referral sources, and staff. Position Summary The Office Administrator serves as the first point of contact for clients, visitors, and referral partners while providing administrative support to clinical and operational teams. This position plays a critical role in maintaining efficient office operations, ensuring accurate documentation, coordinating communication, and supporting the overall success of the program. Essential Responsibilities Greet clients, visitors, and referral sources in a professional and welcoming manner. Answer and direct incoming phone calls, emails, and inquiries. Manage office scheduling, calendars, and meeting coordination. Maintain client records, files, and administrative documentation in accordance with company policies and HIPAA regulations. Assist with intake paperwork and admission-related administrative processes. Verify that client documentation is complete and accurately maintained. Monitor office supplies and place orders as needed. Coordinate mail distribution, scanning, filing, and document management. Support billing, insurance, and authorization processes through administrative assistance when needed. Maintain organized electronic and physical filing systems. Assist leadership with reports, spreadsheets, data entry, and special projects. Coordinate communication between departments to ensure smooth operations. Ensure the office environment remains professional, organized, and compliant with company standards. Assist with client transportation scheduling, appointments, and other logistical needs as assigned. Maintain confidentiality of all client and company information. Perform additional administrative duties as assigned. QualificationsRequired High school diploma or GED. Minimum of 2 years of administrative, office management, receptionist, or related experience. Strong organizational and time management skills. Excellent written and verbal communication skills. Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace. Ability to multitask and prioritize responsibilities in a fast-paced environment. Professional demeanor and strong customer service skills. Ability to maintain confidentiality and adhere to HIPAA standards. Preferred Experience working in healthcare, behavioral health, substance use treatment, or social services. Familiarity with electronic medical records (EMR) systems. Experience with insurance verification, client admissions, or healthcare administration.
