About the Opportunity The OMNI Family Office is a developing family enterprise structure built to support the long-term coordination, governance, and operational continuity of a multi-generational family with diverse business, real estate, philanthropic, and personal interests. As the family's activities have grown in complexity, it has become clear that organization itself is now a strategic priority -- and this role is intended to help lead that effort. The Family Office Administrator is a foundational role within that structure. This is not a traditional administrative assistant position. It is a high-trust, high-judgment operational coordination role for a seasoned professional who takes pride in bringing order, continuity, and follow-through to complex and sensitive environments. The right person will grow with this role over time and become an integral part of how the family operates. What You Will Do Principal & Family Administrative Support Manage and coordinate calendars, scheduling, and commitments across family members with thoughtful prioritization and clear communication Support correspondence management including organizing, drafting, and flagging items for action Serve as a central coordination point for family-related administrative tasks, follow-ups, and accountability Anticipate needs before they become problems and proactively reduce administrative burden on family members Family Office & Governance Support Provide administrative and logistical support for family governance activities including Family Council meetings, records, schedules, and materials Support the organization and coordination of governance frameworks, entity records, and institutional knowledge Assist with philanthropic and Family Foundation activities through scheduling, preparation, and coordination Legal & Professional Advisor Coordination Coordinate scheduling and administrative interaction with attorneys, accountants, financial advisors, and other professional advisors Organize and maintain access to key documents across entities, trusts, insurance structures, and operating agreements Serve as an administrative liaison -- this role does not include legal, financial, or decision-making authority Travel & Logistics Plan and coordinate personal and family travel including flights, lodging, ground transportation, and itineraries Anticipate logistical needs and ensure smooth execution before, during, and after travel Household & Property Coordination Coordinate household-related administrative matters including vendor scheduling, service coordination, and property-related logistics Track tasks and follow-ups to ensure timely completion Systems, Technology & Special Projects Support the ongoing implementation and use of organizational tools including Slack, Monday.com, and EntityKeeper Proactively identify opportunities to streamline workflows, improve systems, and reduce friction across the family enterprise Take on special projects and ad hoc problem-solving as needed

Continuity What We Are Looking For The ideal candidate brings demonstrated experience in a high-trust, complex administrative environment and is ready to step into a role that requires both strong execution and sound independent judgment. Experience 5+ years in a senior administrative, executive support, or operational coordination role Prior experience in a family office, legal, financial services, private equity, or C-suite executive support environment strongly preferred Demonstrated experience managing sensitive information with discretion and professionalism Skills & Attributes Absolute discretion and respect for confidentiality -- this is non-negotiable Strong organizational discipline and follow-through across multiple priorities and stakeholders Excellent written and verbal communication skills High comfort with technology and a genuine interest in using tools to improve efficiency and organization Proactive mindset with a natural inclination to anticipate needs and identify solutions Low-ego, service-oriented approach with pride in behind-the-scenes excellence Strong judgment, emotional intelligence, and common sense Alignment with values of trust, accountability, and integrity What Success Looks Like Within the first 6 to 12 months, success will be reflected by clear and well-managed coordination across family needs, fewer dropped balls and last-minute issues, improved organization of family governance and entity-related matters, a noticeable reduction in administrative burden for family members, and growing trust, autonomy, and proactive contribution. This role is intended to be long-term and foundational. The right person will not just maintain systems -- they will help build them.
