Office Administrator McShane Mechanical Farmington Hls, MI Job Details Part-time $20 - $30 an hour 7 hours ago Qualifications Microsoft Excel Microsoft Outlook Executive administrative support Attention to detail Organizational skills Full Job Description Position Summary The Office Administrator serves as the first point of contact for visitors, clients, and employees while providing administrative and operational support to the executive team across multiple disciplines. This role requires a highly organized, professional, and proactive individual who can manage front desk responsibilities while supporting leadership with scheduling, communication, reporting, coordination, and special projects as requested. Key Responsibilities
  • Front Desk & Office Administration o Greet visitors, clients, vendors, and employees in a professional and welcoming manner o Answer and direct incoming phone calls and respond to general inquiries o Manage incoming and outgoing mail, packages, and deliveries o Maintain front office appearance, conference rooms, and common areas o Order and maintain office and kitchen supplies o Coordinate office vendors and service providers as needed • Executive Support - as requested o Provide administrative support to executive leadership across multiple departments as requested and assigned o Manage calendars, meeting scheduling, and appointment coordination o Prepare meeting materials, reports, presentations, and correspondence o Assist with email follow-ups, document preparation, and internal communications o Coordinate travel arrangements, accommodations, and itineraries for leadership o Support confidential administrative tasks and maintain discretion with sensitive information • Cross-Functional Administrative Support - as requested o Assist with finance-related tasks such as expense reporting, invoice tracking, and accounts payable support o Support onboarding coordination and employee administrative processes in partnership with Human Resources o Assist with company events, meetings, employee engagement activities, and client functions o Support marketing and business development initiatives, including company communications and social media coordination o Help coordinate internal projects and operational initiatives across departments o Assist with ad-hoc projects and special assignments as needed Qualifications Professional demeanor with strong interpersonal and customer service skills Excellent verbal and written communication abilities Strong organizational skills with the ability to prioritize multiple tasks effectively Ability to maintain confidentiality and handle sensitive information professionally Proficiency in Microsoft Office Suite and Adobe Acrobat including Outlook, Word, Excel, and PowerPoint Preferred Skills Ability to work independently while supporting multiple team members and departments Strong attention to detail and problem-solving abilities Adaptability and willingness to assist wherever needed Work Environment • On-site work environment.
  • Part-time work hours M-F 9am - 2pm
  • Extended hours as needed to meet various deadlines or to complete assigned projects within expected timeframes Compensation
  • Compensation will be based on experience and qualifications.
Pay:
$20.00 - $30.00 per hour
