Office Manager

Construction & General Contracting, Property Maintenance, Lawn Care & Snow Removal, and Residential and Commercial Property Management & Leasing. We literally do a little bit of everything and manage all of this with 10-15 employees.
About you:
The ideal candidate is experienced, detail oriented, and able to quickly shift gears between tasks and companies to manage multiple responsibilities with accuracy and confidentiality.. Primary responsibilities include account management, payables and receivables, payroll, human resources, contract management, scheduling, purchasing, and leasing agent activities.
Responsibilities:
Manage Accounts Payable
- vendor billing, expense reconciliation, and timely payments Manage Account Receivable
- invoicing, payment tracking, and collections Manage Vendor W9s and COIs Payroll
- process bi-weekly payroll for 2 companies including tax obligations, IRA contributions, and direct deposit Human Resources
- post available positions, review job applications, and new employee onboarding General Contracting
- pull building permits, manage sworn statements, and create close out books with lien waivers, warranties, project details sheet, and vendor contact information Property Maintenance
- manage contracts and invoicing Lawn Care and Snow Removal
- manage contracts and invoicing as well as client communications Property Management
- act as leasing agent, collect and record rent payments, manage tenant repair/maintenance requests, and process legal filings for removing non-paying tenants Maintain an organized filing system
- both electronically and physically Manage incoming and outgoing phone calls, emails, mail and general office communications Monitor and restock office supplies and equipment
Requirements:
1-2 years office management experience minimum Proficient with QuickBooks, Microsoft Word & Excel and/or Google Docs & Sheets, Google Drive, etc. Payroll and tax-reporting experience a plus Valid driver's license U.S. citizen High school diploma or equivalent. Understand and communicate in English
- both in person and via phone/text message.
Spanish language skills a plus Maintain a clean and organized work area. Must be punctual.

Hours:
between 7:00am and 5:00pm, flexible, with unpaid lunch Starting at : $22.00 and up based on experience.
