Job Overview We are seeking a dynamic and highly organized Office Manager to oversee daily office operations, ensuring a smooth and efficient work environment. This role is vital in coordinating administrative functions, managing office systems, and supporting staff to foster productivity and professionalism. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with the ability to handle multiple responsibilities with enthusiasm and precision. As an Office Manager, you will be the backbone of our office, creating a welcoming atmosphere while maintaining high standards of organization and customer service. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette. Oversee multi-line phone systems, ensuring prompt and courteous responses to all inquiries. Maintain office supplies inventory, place orders as needed, and ensure the office environment is tidy and organized through effective filing and data entry. Coordinate calendar management for executives and team members, scheduling meetings and appointments efficiently. Handle clerical tasks such as proofreading documents, preparing reports, and managing correspondence using Microsoft Office and Google Workspace tools. Support bookkeeping activities using QuickBooks or similar software, including invoicing, expense tracking, and basic payroll functions. Provide exceptional customer support via phone or email, assisting clients or visitors with their needs while maintaining professionalism at all times. Assist with office management duties such as organizing files, managing office equipment maintenance, and implementing organizational procedures to improve workflow. Support administrative functions related to medical or dental reception if applicable, including appointment scheduling and patient record management. Perform data entry tasks accurately while adhering to confidentiality standards; support personal assistant duties such as travel arrangements or special project coordination when required. Experience Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service. Prior experience working at a front desk or as a receptionist in medical or dental settings is highly desirable. Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and must know QuickBooks. Familiarity with multi-line phone systems, phone etiquette best practices, and organizational skills necessary for calendar management. Bilingual abilities are a plus to effectively communicate with diverse clients or team members. Experience supporting bookkeeping activities such as invoicing or expense tracking enhances your candidacy. Strong organizational skills combined with excellent time management capabilities to prioritize tasks efficiently in a fast-paced environment.
