Job Description
Overview Iron River Care Center is a privately owned, 69-bed skilled nursing and rehabilitation facility that has been successful in the senior care arena for nearly 50 years. We are seeking a dynamic and highly organized Business Office Manager to lead the administrative and financial operations within a busy healthcare environment. The ideal candidate will bring a proactive approach to office management, possess strong financial acumen, and demonstrate exceptional leadership skills to supervise administrative teams effectively. Responsibilities Enter and maintain accurate resident information in facility EMR system Ensure resident account balances are accurate and updated monthly Verify insurance benefits for referrals received Obtain prior authorizations for services as required Generate, print, and mail monthly resident billing statements Post and reconcile all resident payments Oversee daily administrative functions ensuring efficient workflow and compliance with HIPAA and other regulatory standards. Monitor private pay, insurance, Medicare, and Medicaid balances Follow up on unpaid balances and discrepancies Communicate effectively with residents, families, and payors regarding billing questions Responsible for processing, submitting, and tracking Medicaid applications, including gathering required documentation and following up to ensure timely approval and accurate reimbursement. Review, enter, and validate all facility invoices Maintain organized and accurate invoice filing Communicate with vendors regarding billing questions or discrepancies Coordinate human resources functions such as staffing, onboarding, performance evaluations, and employee relations Maintain accurate employee sick, vacation, and PTO records Prepare, review, calculate, and complete payroll Coordinate payroll approvals and distribution Maintain required staffing data and complete quarterly PBJ submissions in accordance with federal regulations. Assist with personnel files, audits, and compliance as assigned Assist with audits and surveys as needed Complete required reports accurately and on time Maintain mandatory in-service education requirements Work collaboratively with all departments to support facility operations Experience Prior experience as a Business Office Manager or similar role in a skilled nursing or healthcare setting preferred Knowledge of Medicaid/Medicare billing strongly preferred Experience with payroll processing and accounts payable/receivable Strong leadership, organizational, analytical, and communication skills Ability to work independently, prioritize tasks, and meet deadlines Proficient in computer systems and office equipment High level of professionalism, confidentiality, and attention to detail
