About Us Xigma Engineering & Fabrication is a growing custom metal fabrication and engineering company serving industrial customers throughout the Midwest. We are seeking a dependable, organized, and detail-oriented Office Manager / Bookkeeper to oversee daily accounting, payroll, HR, and administrative functions in our office. This position is ideal for an experienced bookkeeper or office administrator who enjoys working in a small manufacturing environment and is comfortable handling a variety of responsibilities. The ideal candidate will be comfortable working in a fast-paced manufacturing environment and interacting with both office and shop personnel. Responsibilities
  • Manage accounts payable and accounts receivable
  • Create and send customer invoices
  • Enter vendor bills and process payments
  • Prepare and issue company checks
  • Maintain bookkeeping records using QuickBooks
  • Process payroll using Paychex
  • Track employee attendance, PTO, and related records
  • Maintain employee files and onboarding documentation
  • Assist with recruiting activities and job postings
  • Follow up on customer payments and collections
  • Assist with job tracking and administrative reporting
  • Coordinate insurance certificates and routine compliance documentation
  • Answer phones and assist customers, vendors, and employees
  • Maintain organized office records and filing systems
  • Support ownership and management with administrative and operational tasks
  • Perform other office management and administrative duties as needed Qualifications Required
  • Minimum 3 years of bookkeeping, office management, or related experience
  • Proficiency with QuickBooks
  • Proficiency with Microsoft Office (Excel, Word, Outlook)
  • Payroll processing experience
  • Strong organizational and time-management skills
  • Excellent attention to detail and accuracy
  • Professional communication and customer service skills
  • Ability to work independently and manage multiple priorities Preferred
  • Experience in a manufacturing, fabrication, construction, engineering, or other industrial office environment strongly preferred
  • Experience with Paychex payroll systems
  • Experience with employee onboarding and personnel records
  • Familiarity with job costing, project tracking, or production-related administrative support Benefits
