Job Description

Lakeview Behavioral Health is seeking a dependable and organized Office Manager to help support daily operations within our behavioral health clinic at our Hibbing location. This position plays an important role in front desk and registration functions, including scheduling appointments, answering phones, verifying insurance information, and assisting clients through the intake process. This role is best suited for someone who is comfortable working in a fast-paced environment, managing multiple tasks, and maintaining professionalism while supporting both clients and staff. Overview:
The Office Manager assists in communications and provides support to clinical personnel under the direction of the Access Front Desk and Registration Manager. This position flexes between front desk and registration responsibilities based on daily operational needs and volume. This role also serves as an in-office resource for staff regarding office needs and concerns while promoting a professional, respectful, and supportive work environment.
Qualifications:
Previous work experience in administrative, medical office, or human services settings. Previous work experience in medical office scheduling and medical insurance verification Be 18 years of age or older. Ability to successfully complete MN Dept of Human Services background study. Strong organizational and communication skills.
Essential Duties and Responsibilities:
Register clients, schedule and reschedule appointments Answer incoming phone calls. Return phone calls by the end of the business day or no later than the following business day. Verify client demographic and insurance information at each encounter. Collect co pay's, private pay and on client balances at each encounter. Enter updated and accurate insurance information into the Electronic Health Record (EHR). Activate or deactivate insurance coverage based on eligibility findings and complete monthly eligibility checks and connecting with clients with insurance discrepancies. Manage provider schedules including no-show follow-up to maintain full schedules. Comprehensive management of provider spaces for client and schedule related tasks Communicate with outside agencies regarding referrals and ensure timely resolution of outstanding referrals and pending registrations. Process incoming and outgoing medical records requests and faxes in accordance with company policy. Develop and maintain working knowledge of insurance regulations, billing requirements (including 245G), HIPAA, and internal policies. Serve as a point of contact for staff regarding general office needs and concerns. Maintain a professional and neutral presence within the office environment. Encourage respectful and direct communication between staff when concerns arise. Redirect gossip, negativity, or unproductive conversations in a professional manner. Communicate ongoing concerns or patterns to the Access Front Desk/Registration Manager Maintain confidentiality and professional boundaries when addressing staff concerns. Promote a structured, respectful, and positive office environment. Create and maintain a safe and supportive environment for clients and staff. Basic office housekeeping related duties. Adhere to Lakeview Behavioral Health policies and procedures.
Pay:
$19.00 - $23.00 per hour
