Office Administrator / Customer Experience Coordinator Rival Coatings - St. Cloud, MN About Rival Coatings Rival Coatings is a growing concrete coatings company specializing in residential floor coating systems. We are focused on delivering a structured, professional experience for homeowners through strong communication, organized systems, and high standards across sales, production, and customer service. Position Overview The Office Administrator / Customer Experience Coordinator plays a key role in daily operations by managing communication between homeowners, sales, and production teams. This position helps ensure projects stay on schedule and customers receive timely, professional updates throughout the process. This is a fast-paced role that requires strong organization, attention to detail, and the ability to manage multiple tasks efficiently. Key Responsibilities Customer Communication Communicate with homeowners regarding project scheduling and status updates Confirm appointments and respond to customer inquiries in a timely, professional manner Maintain a positive and consistent customer experience Production Coordination Work with the production team to track daily schedules and job progress Assist in resolving scheduling or project-related issues Help maintain accurate production timelines Sales Team Support Provide updates to sales representatives on job status and scheduling Assist with data entry and job documentation Ensure smooth handoff from sales to production CRM & Administrative Management Maintain accurate customer and job information in CRM systems Track project notes, updates, and communications Assist with scheduling and calendar management Office Support Assist with general administrative tasks, filing, and organization Support daily office operations as needed Qualifications Strong organizational skills and attention to detail Ability to multitask and adapt in a fast-paced environment Professional communication skills (phone, text, and email) Ability to work independently and within a team Positive attitude and problem-solving mindset Preferred (not required): Experience in construction or home service industry Previous customer service or administrative experience Requirements High school diploma or equivalent Reliable transportation Ability to work a flexible schedule during peak seasons
Compensation & Schedule Pay:
$17.00 - $22.00 per hour (based on experience)

Monday-Friday, with occasional flexibility during peak season
