Job Description
Job Overview We are seeking an energetic and detail-oriented Assistant Office Manager to join our dynamic team! must speak spanish if possible, In this pivotal role, you will support the smooth operation of our office environment by overseeing administrative functions, managing schedules, coordinating vendor relationships, and assisting with human resources activities. Your proactive approach and excellent communication skills will help foster a productive, organized workspace where team members can thrive. This position offers an exciting opportunity to develop your leadership abilities while ensuring our office runs efficiently and effectively every day. Responsibilities Assist in managing daily office operations, ensuring all administrative tasks are completed accurately and on time Coordinate scheduling for meetings, appointments, and events, including venue arrangements and resource allocation Supervise clerical staff and support team members with administrative needs such as filing, data entry, and document management Oversee vendor relationships, including procurement, contract negotiations, and maintaining service quality standards Support human resources functions such as onboarding new employees, maintaining personnel records, and assisting with payroll processing using QuickBooks or similar software Manage office supplies inventory and oversee budgeting to ensure cost-effective resource utilization Handle front desk responsibilities including greeting visitors, managing multi-line phone systems, and maintaining professional phone etiquette Organize training sessions and development programs to enhance team skills and performance Ensure compliance with office policies and procedures while fostering a positive work environment Experience Proven experience in office management or administrative roles within a professional setting Must speak some Spanish. Supervising experience is highly preferred to effectively lead support staff and coordinate team activities Strong proficiency with QuickBooks or comparable bookkeeping/accounting software for payroll and financial tracking Demonstrated ability to manage schedules efficiently using calendar management tools Experience in event planning for meetings, company functions, or community outreach initiatives Familiarity with vendor management processes including negotiations and service evaluations Knowledge of human resources practices such as onboarding, employee records management, and payroll administration Excellent organizational skills with keen attention to detail in filing systems and record keeping Exceptional communication skills to interact professionally with team members, vendors, clients, and visitors Prior experience in medical office management or similar environments is a plus but not required Join us in creating a vibrant workplace where organization meets innovation!
