Job Description

Job Overview We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office environment. This vital role involves overseeing administrative functions, managing office staff, and ensuring smooth communication across departments. The ideal candidate will bring energy, efficiency, and a proactive approach to creating an inviting and productive workplace. Your leadership will help foster a positive office culture while maintaining high standards of organization and customer service. Construction experience is a plus. Duties Manage day-to-day office operations, including supervising administrative staff and front desk personnel Oversee multi-line phone systems, ensuring prompt and professional communication with clients, vendors, and team members Maintain organized filing systems, data entry records, and ensure accurate document management using tools like Microsoft Office and Google Workspace Handle calendar management for executives and coordinate meetings, appointments, and events with precision Provide exceptional customer support at the front desk, greeting visitors and managing inquiries with courteous phone etiquette Perform clerical tasks such as proofreading documents, managing correspondence, and processing invoices using ComputerEase or similar bookkeeping software Support office management activities including supply ordering, equipment maintenance, and facility coordination Payroll (ADP) Union experience is a plus

Purchase Orders Sales & Use Tax Onboarding Requirements Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Excellent computer literacy with experience in data entry, filing systems, and basic bookkeeping (ComputerEase preferred) Strong communication skills in both English and bilingual capabilities (if applicable), with professional phone etiquette Demonstrated ability to multitask efficiently while maintaining attention to detail in a fast-paced environment Prior experience in customer service or as a receptionist (dental or medical receptionist experience is a plus) Knowledge of office equipment such as multi-line phones, fax machines, printers, and office software tools Ability to manage time effectively with strong organizational skills and the capacity to prioritize tasks Join us as an Office Manager to lead our vibrant team!
