Job Description

Job Overview We are seeking a highly organized and professional Office Administrator to join our team and work on-site daily. In this role, you will serve as the first point of contact for the company, providing essential administrative and clerical support across the organization. Key responsibilities include welcoming and assisting visitors, managing front-desk operations, scheduling appointments, handling incoming communications, and directing phone calls appropriately. You will play a vital role in ensuring smooth day-to-day office operations while maintaining a positive and professional environment for both guests and staff. To succeed in this position, you should possess strong communication and interpersonal skills, a friendly and approachable demeanor, and the ability to manage multiple tasks efficiently. Excellent organizational skills, attention to detail, and the ability to perform effectively under pressure are essential. Ultimately, the Office Administrator is responsible for creating a welcoming front-desk experience while ensuring all administrative duties are completed accurately and to the highest standards. Responsibilities Office Support Greet and welcome customers and visitors in a professional and friendly manner Answer, screen, and direct incoming phone calls Provide accurate information in person, via phone, and through email Manage calendars and schedule appointments Oversee daily office operations to ensure efficiency Maintain and organize electronic and paper filing systems Perform general administrative tasks, including data entry and document preparation Complete clerical duties such as filing, photocopying, and email correspondence Project Documentation & Coordination Document, process, and maintain accurate project records Enter and manage data within job expense files Create, organize, and maintain project documentation, including bid packages, proposals, and contracts Requirements Proven experience in office administration or office management Construction industry experience preferred • Strong organizational skills with the ability to multitask in a fast-paced environment Excellent verbal and written communication skills Proficiency in Microsoft Office Suite (including Excel), QuickBooks, calendar management software, and multi-line phone systems Experience with vendor management, HR support, job budgeting, bookkeeping, lien waivers, and state/federal projects is a plus • Knowledge of standard clerical procedures and front desk operations Ability to handle sensitive information with discretion and professionalism Demonstrated ability to support training and professional development initiatives Exceptional customer service and phone etiquette Strong time management skills with the ability to prioritize tasks effectively Self-motivated with the ability to learn quickly Detail-oriented with the ability to follow directions precisely Professional attitude and appearance Ability to meet deadlines consistently The ability to juggle multiple responsibilities efficiently We are seeking a friendly and professional individual to serve as the face of our company and build strong relationships with colleagues, clients and vendors.
