Job Description
Overview We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office environment. This role is vital in ensuring smooth administrative workflows, fostering a productive workplace, and supporting team success. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with a passion for creating an efficient and welcoming office atmosphere. As an Office Manager, you will oversee a variety of administrative functions, coordinate vendor relationships, manage schedules, and support human resources initiatives to keep our office running seamlessly. Duties Oversee daily office operations, including front desk management and multi-line phone systems to ensure prompt and professional communication. Manage scheduling for meetings, appointments, and company events to optimize team productivity and space utilization. Coordinate vendor relationships, including negotiating contracts, managing supplies, and ensuring timely delivery of services and products. Supervise administrative staff and provide training & development opportunities to foster a motivated team environment. Handle bookkeeping, payroll processing using QuickBooks, budgeting, and basic human resources functions such as onboarding and employee records management. Organize company events, meetings, and training sessions to promote team engagement and professional growth. Maintain organized filing systems—both physical and digital—and ensure confidentiality of sensitive information. Support medical office management tasks if applicable, including patient scheduling and record keeping. Manage office supplies inventory to prevent shortages while controlling costs effectively. Experience Proven experience in office management or administrative roles with a strong background in clerical and organizational tasks. Supervising experience with demonstrated ability to lead teams effectively in a fast-paced environment. Proficiency in QuickBooks for bookkeeping, payroll processing, and financial record keeping. Experience with schedule management tools and calendar coordination for multiple stakeholders. Knowledge of vendor management practices including contract negotiation and relationship building. Familiarity with human resources procedures such as onboarding, training & development programs, and employee record maintenance. Prior experience managing front desk operations, multi-line phone systems, filing systems, and office supplies procurement. Strong communication skills with the ability to handle phone etiquette professionally across diverse audiences.
