Job Description

Overview We are seeking a dynamic and highly organized Office Administrator to join our construction rental and sales team! This vital role ensures the smooth and efficient operation of our office environment, managing rentals, invoicing as well as providing exceptional administrative support to staff and customers alike. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with a passion for creating a welcoming and productive workspace. Your energy and enthusiasm will help foster a positive office culture while managing essential administrative functions with precision. Duties Manage front desk operations, greeting customers and directing them appropriately to ensure a professional first impression Handle multi-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette Learning and utilizing a rental software to manage and invoice equipment rentals starting, renewing and returning Create and manage a daily schedule for deliveries and pickups of rental machines Help staff members manage machinery and properly record its condition upon rental return as well as making sure all required rental documents are received prior to rentals beginning Maintain accurate records through data entry, filing, proofreading, and document management using Microsoft Office, Google Workspace, and other relevant tools Support bookkeeping and basic office management tasks using QuickBooks or similar accounting software Utilizing professional communication skills for contacting customers for accounts receivables Assist with clerical duties such as copying, scanning, mailing, and organizing office supplies to ensure operational readiness Provide customer support by addressing inquiries promptly and professionally in person or via phone or email Coordinate office logistics including managing office supplies inventory, and ensuring a tidy workspace Skills Proven experience in office management or administrative roles with strong organizational skills Experience in Quickbooks Experience and/or knowledge of construction equipment is a plus Proficiency in Excel and Google Workspace applications Excellent computer literacy with the ability to adapt to new software quickly Strong typing skills coupled with attention to detail for proofreading and data entry tasks Experience with multi-line phone systems and phone etiquette to handle calls professionally Bilingual abilities are highly desirable to serve diverse client needs effectively Knowledge of QuickBooks or bookkeeping experience is a plus for handling basic financial tasks Exceptional customer service skills with a friendly demeanor and effective communication abilities Ability to prioritize tasks efficiently using time management techniques in a fast-paced environment Previous experience in a management position or fleet management is highly diserable Pay is dependent on experience, quickbooks and/or construction background Join us at Skye Equipment where your organizational prowess and vibrant personality will make a meaningful impact every day!
