Job Description

The role of an Office Administrator in a construction company involves an understanding of accounting terms and project field management. This position requires efficient planning, organizing, directing and evaluation of construction reports from conception to production while strictly adhering to schedules, budgets, and specifications. The Office Administrator's knowledge enables them to effectively manage an office staff supporting multiple construction projects concurrently.
Responsibilities:
  • Supervise daily operations of front desks and phone systems.
  • Coordinate office meetings with staff and subcontractors
  • Process invoices, project drawings, and specification printing
  • Manage and support weekly and monthly job status reporting
  • Supports projects with office supply needs
  • Manage office supplies stock and place orders
  • Handle monthly fuel reporting for fleet trucks
  • Support the office director in prequalification forms for new and existing clients
  • Maintain databases of suppliers and vendors
  • Collect expense data from company staff
  • Coordinate company staff events throughout the year
  • Manage annual renewals of office subscriptions
  • Manage annual renewals for office support vendors for trucks and storage buildings
  • Manage the list of tools and equipment in use or in storage.
  • Perform additional tasks as needed to support project staff.
Qualifications:
  • Associate Degree in business or a related field
  • In-depth knowledge of construction terminology and principles
  • Bilingual in English and Spanish
  • Excellent verbal and written communication skills
  • Exceptional negotiation skills and attention to detail
  • Strong organizational skills and consistently punctual attendance
  • Good time management skills
  • Proactive and forward-thinking mindset The base salary offered for this position is competitive and aligned with the North Carolina marketplace.
The exact salary will be determined based on the candidate's years of experience and level of education. As for the company-supplied benefits package, detailed information will be provided and discussed with the selected candidate at a later stage.
