Part-Time Office Administrator Cary, NC Job Details Part-time $20 - $30 an hour 17 hours ago Benefits Flexible schedule Qualifications Administrative experience Attention to detail Organizational skills Law office Multi-line phone systems Full Job Description Part-Time Office Administrator McCuiston Law Offices is seeking a highly motivated Part-Time Office Administrator to support the firm's office operations, including handling invoices, deposits, issuing checks, and routine bank reconciliations. McCuiston Law Offices practices in the areas of estate planning, corporate/business matters, real estate and tax-related work. Our tight-knit team is currently comprised of three attorneys along with support staff. Key Responsibilities Office Administration
- Answer multiple phone lines
- Assist with scheduling, client intake and routine communications
- Support daily office flow and ensure clear communication across the team
- Support Office Manager and Legal Assistants with other duties as needed Financial Administration Prepare and process invoices, deposits, and checks, and record related transactions Manage accounts payable and timely vendor payments, including issuing and mailing checks or initiating approved electronic payments Manage and monitor client invoicing and payments, including preparing and sending invoices and posting receipts Handle daily banking and deposits, including remote capture or in-branch deposits as needed Perform monthly bank reconciliations for operating and trust accounts Track client retainers and ensure proper application of funds Maintain accurate client trust ledgers Process property tax and related filings Process payroll Coordinate with the firm's CPA for tax preparation Qualifications Strong organizational skills and attention to detail Ability to work independently with minimal supervision Commitment to confidentiality and ethical handling of financial information 3+ years of experience handling invoices, deposits, issuing checks, and balancing business checking/bank accounts (formal bookkeeping background not required with substantial hands-on experience) CPA candidates will be given strong consideration; however, a CPA is not required for this role Prior law firm billing or trust account experience preferred Direct experience with trust/IOLTA accounting and monthly bank reconciliations preferred Experience with legal billing software (e.

You will regularly balance answering phones, assisting clients, scheduling, and supporting attorneys and staff, while also completing accurate financial work. Please describe how you prioritize tasks, stay organized, and maintain focus when switching between administrative duties and detailed bookkeeping work. What office administration, accounting, or legal billing systems have you used (for example, QuickBooks, CosmoLex, LawPay, or similar tools)? Please explain how you've used these systems to support general office operations as well as invoicing, payments, reconciliations, and reporting. Because this role involves both front office responsibilities and access to sensitive financial and client information, reliability and trustworthiness are essential. Please provide three references who can speak to your honesty, discretion, and professionalism. This requirement is waived for CPA applicants. Please provide examples of your experience working in a law firm or professional office setting. In addition to accounting or bookkeeping work, describe any administrative, client service, or operational duties you've handled. If you have performed paralegal tasks, please outline the areas and types of responsibilities.
