This vital role ensures the smooth operation of daily office functions, supports team members, manages administrative tasks, and maintains an efficient work environment. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a productive and welcoming office atmosphere. Your energy and enthusiasm will help drive our organization forward, ensuring all administrative needs are met with precision and professionalism. Responsibilities Oversee daily office operations, including front desk management, multi-line phone systems, and greeting visitors with professional phone etiquette. Manage calendar scheduling, coordinate meetings, and organize appointments for staff and leadership. Supervise administrative staff and coordinate training & development initiatives to enhance team performance. Handle vendor management by sourcing supplies, negotiating contracts, and maintaining positive vendor relationships. Perform bookkeeping duties using QuickBooks for invoicing, expense tracking, and basic payroll processing. Support human resources functions such as onboarding new employees, maintaining personnel files, and assisting with employee relations. Organize filing systems—both physical and digital—and ensure confidentiality of sensitive information. Assist with event planning for company functions or community outreach initiatives. Manage office budgets by tracking expenses and preparing financial reports to ensure fiscal responsibility. Experience Proven experience in office management or administrative roles within a professional environment. Supervising experience is highly desirable to effectively lead administrative teams. Familiarity with bookkeeping software such as QuickBooks is essential for financial tasks. Strong organizational skills with the ability to manage multiple priorities simultaneously. Excellent communication skills—both verbal and written—to interact effectively with staff, vendors, clients, and visitors. Experience in event planning, vendor management, and calendar management will be advantageous. Knowledge of human resources procedures including onboarding, payroll support, and employee training & development. Prior experience in front desk operations is a plus but not required.
