Job Description

Two Mandatory Requirements Fluent in English and Spanish , written and spoken. Our field crews are Spanish-speaking. Non-bilingual applications will not be reviewed. About CPC Pools Carolina Pool Consultants designs and builds custom concrete pools in the Denver and Lake Norman area of North Carolina. We are owner-led, growing, and serious about customer experience. About the Role This is not a receptionist or basic admin role. We need someone who can run the office, hold people accountable, and keep things moving without constant owner involvement. You will have an Office Assistant reporting to you. Your focus is leadership, coordination, and ownership. Three months in, success looks like this: the owner is no longer pulled into day-to-day office issues, customer communication is consistently professional and timely, the CRM is clean and current, permits and inspections are tracked and never delayed by the office, and the assistant is performing reliably under your direction. What You'll Own Office operations. Scheduling, documentation, customer experience, field crew coordination, vendor and subcontractor relationships, permitting and inspection workflows. Financials. Invoicing, payment tracking, and bookkeeping directly in QuickBooks. Coordinate with our bookkeeper or CPA as needed. The CRM. Keep data accurate and current. Build and refine workflows. Train the team on proper use. Communication. Primary written and verbal point of contact in English and Spanish. Handle escalated customer issues with professionalism. Training and Supervision . Supervise, train, delegate, and hold the administrative assistant accountable. Review their work and give direct feedback. Reporting. Regular reports on job status, leads, and key metrics for ownership. What We Need From You Someone who sees problems before they become emergencies. If a client hasn't gotten an update, you flag it. If a permit is stalled, you push. If a payment is overdue, you address it. If sales forgot something or a vendor dropped the ball, you act. This is construction. It moves fast. Clients can be emotional. Subs miss things. Permits get hung up. We need someone who handles all of that without waiting to be told, with the loyalty and discretion the seat requires. Required Qualifications Fluent in English and Spanish, written and spoken 7+ years of office experience (10+ strongly preferred) Experience supervising or managing office staff Experience handling invoicing, payment tracking, and bookkeeping in QuickBooks Proficient with Microsoft 365, cloud systems, and CRM platforms Demonstrated ability to hold people accountable professionally Strongly preferred: experience in construction, pool, or home services; familiarity with permits, inspections, and scheduling field crews.
