Job Description

Job Overview We are seeking a dynamic and organized Office Manager / Bookkeeper to join our team! This vital role combines efficient office management with precise bookkeeping responsibilities, ensuring smooth daily operations and accurate financial record-keeping. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, ready to support our team and provide exceptional customer service. You will play a key role in maintaining an organized office atmosphere while managing essential financial tasks with accuracy and professionalism. Responsibilities Oversee daily office operations, including front desk duties, greeting visitors, and mail management Maintain organized filing systems, manage data entry, and ensure all documents are accurately proofread and stored Handle bookkeeping tasks using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations Provide financial reporting, invoicing/billing, and forecasting through Deltek Vantagepoint (prior experience with Deltek preferred) Manage and administer payroll (ADP), Benefits and insurance management, and Timesheets Performing monthly financial tasks and checks with specific duties (i.e. monthly billing, AP/AR, vendor payments, and cash flow) Assisting firm leadership in human resource coordination, including, training/onboarding, Office Policy Manual updates, retirement benefits, and other projects as needed Provide exceptional customer support via phone, email, and in-person interactions; maintain excellent phone etiquette Manage calendar appointments, schedule meetings, and coordinate appointments for staff or clients as needed Support administrative functions such as typing correspondence, proofreading documents, and managing office supplies Assist with personal or executive assistant tasks when required to ensure smooth workflow across departments Experience Proven office management experience with strong organizational skills and attention to detail Prior clerical or administrative experience in a professional setting is highly desirable Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) Experience with QuickBooks or other bookkeeping software; familiarity with basic bookkeeping principles is essential Excellent computer literacy skills including data entry, filing, and reconciliation Strong customer service background with effective phone etiquette and support skills Join us to be part of a vibrant team dedicated to excellence!
