This vital role combines administrative leadership with financial oversight, ensuring the smooth operation of our office environment. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. You will manage daily office functions, support staff, handle bookkeeping responsibilities, and provide exceptional customer service to clients and visitors alike. Duties Oversee daily office operations, including front desk management and multi-line phone systems to ensure seamless communication. Greet visitors professionally, answer inquiries, and direct them appropriately while maintaining excellent phone etiquette. Manage calendar scheduling, appointment setting, and coordinate meetings for staff members. Handle bookkeeping tasks using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations. Maintain accurate records through data entry, filing, proofreading documents, and managing digital files via Google Workspace and Microsoft Office tools. Support administrative functions such as typing correspondence, managing calendars, and organizing office supplies. Provide customer support by addressing client questions promptly and professionally while ensuring high levels of customer satisfaction. Requirements Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service. Proficiency with QuickBooks for bookkeeping purposes; familiarity with basic accounting principles is essential. Excellent computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and data entry skills. Strong organizational skills with the ability to prioritize tasks effectively in a busy environment. Bilingual abilities are highly desirable to assist diverse client needs effectively. Previous experience as a dental or medical receptionist or personal assistant is a plus but not required. Demonstrated time management skills with the ability to multitask efficiently while maintaining attention to detail. Knowledge of office procedures such as filing, proofreading documents, calendar management, and phone etiquette is essential.
