We serve industrial companies, commercial businesses, municipalities, and educational institutions with services like access control, surveillance systems, fire alarms, and networking infrastructure. Job Summary :
We are seeking a reliable and organized Office Manager to support our office operations at our Forest City location. This role streamlines the operations by assisting staff, handling correspondence, maintaining records, and ensuring the office runs efficiently. The ideal candidate will be detail-oriented, comfortable with technology (including tools like Zoho One), and eager to contribute to a fast-paced, tech-focused environment.
Key Responsibilities :
Administration:
Coordinate office procedures, manage company calendars, and implement administrative systems to streamline workflows.
Bookkeeping & Finance:
Oversee accounts payable and receivable, process invoices, track expenses, and manage payroll. Receive, inspect, and document incoming shipments, ensuring proper coordination with vendors and internal teams. Work with team members to track and manage inventory.
Human Resources:
Assist with onboarding and training new hires, track timesheets, and maintain personnel records.
Vendor & Facility Management:
Maintain office supplies inventory, coordinate equipment repairs, and communicate with external suppliers.
Customer Service:
Act as the primary point of contact for client inquiries, directing calls, and handling correspondence professionally, addressing client inquiries and coordinating with team members. Collaborate with our IT and security teams to ensure smooth administrative support for ongoing projects.
Qualifications:
High school diploma or equivalent; associate's degree or relevant certification (e.g., bookkeeping or office administration) is a plus. 3-5 years of experience in an administrative, data entry, or clerical role. 1-3 years of hands on bookkeeping experience. A firm grasp of double-entry bookkeeping, general ledgers, accounts payable/receivable (AP/AR), and bank reconciliations. Familiarity with Zoho One (e.g., Zoho Books, Zoho Inventory) or similar software (e.g., QuickBooks, Microsoft Excel) is preferred but not required. Strong organizational skills with attention to detail and accuracy. Excellent verbal and written communication skills for phone and email interactions. Ability to multitask and prioritize in a dynamic, fast paced, tech-driven environment. Ability to work independently with little oversight. Experience with shipment receiving or inventory management is a plus. Must be able to pass a 24-month background check for NC Alarm Systems Licensing Board (ASLB)
