Job Description
Job Summary We are seeking a dynamic and highly organized Office Administrator/ Dispatcher to join our team! In this vital role, you will be the backbone of daily office operations, ensuring smooth and efficient workflow across all departments. Your proactive approach, excellent communication skills, and attention to detail will help foster a productive and welcoming environment. Dispatcher Duties Scheduling and dispatching technicians to appropriate locations according to predetermined schedules, customer requests or immediate needs Relaying information: customers - arrival times, delays, or reschedules; technicians -information about location hazards (ie: dogs, gated community or other possible obstacles), known}, and verify customer issue as known Using call center or text messages to contact technicians or customers Communication with customers, technicians, and office manager Preparing daily work schedules, setting appointments Conflict resolution (scheduling snags, cancelations, follow-ups, and delays) Office Duties Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth Handle multi-line phone systems, screen calls, take messages, and transfer calls efficiently using proper phone etiquette Maintain accurate data entry and filing systems, including digital records using Google Workspace and Microsoft Office tools Coordinate calendar management and scheduling for team meetings, appointments, and events with precision Oversee office supplies inventory, order necessary materials, and ensure the workspace remains organized and functional Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking Provide exceptional customer service by addressing inquiries promptly via phone or email, supporting clients and staff alike Requirements Proven experience in office management or administrative roles with strong clerical skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Familiarity with QuickBooks or similar bookkeeping software is highly desirable Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Strong communication skills, including phone etiquette and bilingual abilities (preferred) Previous experience as a receptionist or medical/dental receptionist is a plus Demonstrated ability to handle confidential information discreetly while maintaining professionalism Ability to type quickly with high accuracy; proofreading skills are an advantage Knowledge of multi-line phone systems, data entry procedures, filing systems, and calendar management tools Personal assistant experience or office experience that showcases time management skills is beneficial Join us in creating an efficient workplace where your organizational talents shine!
