Job Description

Job Summary The office administrator (OA) is responsible for overseeing daily office operations and ensuring a smooth, efficient, and organized work environment. This role supports staff, manages administrative processes, and serves as a key point of contact for internal and external communications. Key Responsibilities Manage day-to-day office operations and administrative activities Answer and direct phone calls, emails, and other communications Maintain filing systems (physical and digital) and ensure accurate recordkeeping Schedule appointments, meetings, and manage calendars Order office supplies and manage inventory Assist with basic bookkeeping tasks such as invoicing, expense tracking, and data entry Assist with any legal, financial or insurance related documentation as well as any communications with insurance companies and other vendors Support HR functions such as onboarding paperwork and maintaining employee records Coordinate with vendors, service providers, and building management Prepare reports, presentations, and correspondence as needed Ensure office policies and procedures are followed Qualifications High school diploma or equivalent required; associate or bachelor's degree preferred Experience as an office administrator, administrative assistant, or similar role Proficiency in Microsoft Office (Word, Excel, Outlook) and office management software as well as MAC OS or Windows OS Strong organizational and time management skills Excellent written and verbal communication skills Ability to multitask and prioritize effectively Attention to detail and problem-solving skills Work Environment & Requirements Primarily office-based role May require sitting or standing for extended periods Occasional lifting of office supplies (up to 50 lbs) Varied business hours, with weekly consistency Key Competencies Organization and efficiency Communication and professionalism Reliability and accountability Initiative and adaptability Customer service orientated Compensation & Benefits Salary/Wage based on experience Paid time off and holidays Preneed plan options
