We are looking for someone who is organized, calm under pressure, technologically capable, and able to professionally communicate with clients in all situations. This position is ideal for someone with strong administrative experience who enjoys structure, client interaction, and working in a fast-paced professional office environment. Responsibilities
  • Answer incoming phone calls and return/respond to voicemails daily
  • Professionally communicate with clients while remaining calm and courteous under pressure
  • Monitor and respond to emails
  • Process completed tax returns and client documents
  • Use SafeSend and ShareFile to securely send and receive files
  • Schedule appointments and meetings
  • Greet clients and collect/request necessary information and documents
  • Follow office security procedures and confidentiality protocols
  • Process client payments using Authorize.
Net
  • Handle accounts payable and receivable
  • Use RingCentral and BeeTexting for calls, faxing, texting, and communications
  • Travel to the post office to send certified mail and return receipts
  • Maintain organization within the office and perform light cleaning in your work area and shared office spaces
  • Assist with general office operations and administrative tasks as needed Experience
  • Prior administrative or office management experience
  • Experience using:
  • Google Workspace / Google Suite
  • Microsoft Office
  • Adobe Acrobat/PDF software
  • ShareFile
  • Quick learner with software and technology
  • Strong communication and customer service skills
  • Highly organized and detail-oriented
  • Ability to multitask in a fast-paced environment
  • Professional appearance and demeanor
  • Dependable and reliable attendance
  • Ability to maintain confidentiality and follow security procedures Preferred Experience
  • Experience in a tax, accounting, legal, or financial office
  • Experience with SafeSend, RingCentral, BeeTexting, or Authorize.
