Job Description
Office Manager - Williston Council for the Aging, Inc. Job Summary Purpose This position is responsible for overseeing office operations, transportation services and senior center programming at Williston Council for the Aging, Inc,. ensuring efficient service delivery in support of clients. Reports To The Office Manager will report to the Executive Director. Job Overview The Office Manager serves as a front-line supervisor in the absence of the Executive Director, overseeing administrative staff, supporting transportation operations, and assisting in the daily management of senior center programming. This position provides a key communication link between staff, clients, volunteers and leadership while ensuring efficient operations and consistent delivery high-quality programs and services. Responsibilities and Duties This is a full-time role, Monday-Thursday from 8:00 AM to 4:00 PM and Friday 8:00 AM to 3:00 PM.
- Promotes an organizational culture that embraces the values of respect, care, support, effective, communication, teamwork, collaboration, accountability, and responsibility; and works with all staff to create and maintain a positive and inclusive workplace environment
- Oversees daily office operations including phone systems, scheduling, recordkeeping, and general administrative support
- Supports human resource functions including payroll, timekeeping, employee recordkeeping, onboarding, and general personnel administration to ensure accurate and compliant staffing operations
- Coordinates and manages transportation services, providing direction to drivers and transportation staff, maintaining communication to ensure on-time performance, minimize service disruptions, and resolve scheduling or service issues
- Coordinates senior center events, activities and services in collaboration with Activities Assistant and Executive Director, while monitoring participation and community engagement
- Ensures all vehicles and transportation services follow safety standards, maintenance schedules, and regulatory requirements; schedules routine maintenance and necessary repairs
- Maintains accurate databases and records, ensuring compliance with regulations, including client records, transportation logs and staff/volunteer documentation
- Compiles various operational and program reports, tracks service trends, and implements changes recommended by the Executive Director to enhance services
- Assists with staff and volunteer coordination, including scheduling, training support and general supervision in the absence of Executive Director
- Utilizes strong computer and IT skills, including Microsoft Word, Excel, Windows based systems, and other software platforms used for scheduling, reporting and operations Qualifications
- Bachelor's degree in Business Administration, Public Administration, Nonprofit Management, or a related field preferred. Must possess a valid ND driver's license and have a clean driving record.
- Non-profit program management, transportation coordination, or grant-funded program experience preferred.
- Ability to work independently while managing multiple responsibilities. Self-motivated and strong leadership and customer service skills. Experience working with transportation services and/or older adult populations is preferred.
- Strong knowledge of Williston area. Ability to read, write and speak English clearly. Detail oriented, accurate and organized.
- Strong communication skills, both written and orally, with a variety of individuals including co-workers, supervisors, clients, agencies, government agencies, and the general public. Benefits
Pay:
From $25.00 per hour (DOE)- 75% employer-paid health insurance contribution
