Full Job Description Job Summary:
We are seeking a responsible, detail-oriented Office Operations Coordinator to oversee the daily operations of our secured vehicle storage facilities. In this role, you will manage the intake, organization, condition, and release of repossessed vehicles while supervising a team of lot attendants, camera car driver, two truck drivers, and ensuring compliance with company policies and legal requirements. The ideal candidate will have strong leadership skills, a solid understanding of vehicle handling procedures, talking to members, clients, handling accounts, and a commitment to maintaining a secure and efficient lot environment.
Key Responsibilities:
Supervise daily lot operations including vehicle intake, inventory management, and release procedures. Oversee a team of lot attendants, camera car drivers, tow truck drivers, assigning tasks, monitoring performance, and providing training and support. Ensure accurate documentation of vehicle condition reports, photos, key logs, and inventory tracking. Maintain proper organization of vehicles in the lot for safety, accessibility, and efficiency. Enforce security protocols to prevent unauthorized access and protect assets on the premises. Work closely with recovery agents, office staff, and transporters to coordinate vehicle deliveries and pickups. Perform regular audits of vehicle inventory and reconcile discrepancies. Monitor and maintain lot cleanliness, lighting, fencing, and surveillance systems. Address issues related to damaged vehicles, missing keys, or client complaints in a timely manner. Handle and answer phone calls from members, clients and transporters with potential of outbound calls. Answer emails, messages and communications to main office. Provide daily, weekly and monthly reports on things are going on to main office. Handle between 200-300 accounts for clients.
Qualifications:
High school diploma or equivalent; additional training in automotive or security fields is a plus. 2+ years of experience in vehicle lot management, repossession, towing, or related fields. 2-4+ years of experience in customer service and account management. Proven leadership or supervisory experience preferred. Strong organizational, problem-solving, and communication skills. Proficiency with inventory tracking software and mobile apps. Ability to work outdoors in various weather conditions and lift up to 50 lbs. Valid driver's license with a clean driving record.
Preferred Attributes:
Bilingual (English/Spanish) a plus. Familiarity with repossession laws, procedures, and client confidentiality requirements is a plus RI LLC is growing, come grow with us!
