  • Part-time, Full-time Who we are Custom Climates is a small, family-owned HVAC company in Epsom, NH, with a well-established reputation as a leading Mitsubishi Ductless Elite Diamond Contractor in Southern NH.
We've been keeping the region comfortable since 2007. The role We're looking for an organized, detail-driven Office Administrator to be the central hub of our operation. You'll keep the front office running, coordinate our service and install schedules, and own the day-to-day flow of communication between customers, technicians, and management. If you like being the person who keeps everything on track, this is your seat. What you'll do Answer incoming calls, respond to customer inquiries, and schedule service and installation appointments Coordinate technician and crew schedules; keep the dispatch board accurate and up to date Handle invoicing and reconcile job costing — tracking project performance against estimates Work with our bookkeeper to keep financials current and support payroll Order office and job supplies, manage equipment, handle bills, bank runs, and occasional errands Generate accurate, timely reporting on job performance and the service department Spot inefficiencies and suggest improvements to office procedures and operations Keep the front office organized and presentable What we're looking for Prior experience as an office administrator, coordinator, or front-office/administrative assistant (HVAC, trades, or home-services experience a strong plus) Comfortable with everyday office software — Microsoft Office (Excel and Outlook in particular), email, and spreadsheets Experience with field-service or scheduling software a plus — we use Housecall Pro [and QuickBooks] Strong organization, time management, and the ability to juggle priorities in a fast-paced environment Sharp attention to detail and solid problem-solving instincts Excellent written and verbal communication A proactive mindset — you spot what needs doing before being asked High school diploma required; administrative certification a plus What we offer $20
