Job Description

Job Overview We are seeking an energetic and highly organized Office Manager to lead our administrative operations and ensure the smooth functioning of our office environment. This pivotal role involves overseeing daily administrative tasks, coordinating vendor relationships, and supporting overall office efficiency. The ideal candidate will be proactive, detail-oriented, and possess excellent communication and organizational skills to foster a productive workplace.
Core Responsibilities:
Respond to emails and phone calls in a timely manner Communicate with customers, management, and subcontractors Coordinate schedules and appointments Create and send estimates Maintain records, invoices, and customer accounts using multiple software systems (Projects force, MIC, Quickbooks, Excel) Communicate with product vendors to ensure ETA's and smooth project flow Maintain organized filing systems (digital) Assist with basic bookkeeping tasks Handle customer inquiries Maintain calendars and scheduling systems Monitor deadlines and ensure projects stay on track
Skills:
Ability to manage multiple projects at once Strong Organization and attention to detail Excellent communication and customer service skills Strong multitasking and time management abilties
Typical Daily Priorities:
Respond to and manage communications for that day Confirm and adjust installation and measurement schedules Follow up on active and pending projects Communicate with vendors and subcontractors Ensure all records and systems are accurate and up to date
Pay:
$18.00 - $22.00 per hour
