Job description: RecoveryZone Physical Therapy & Chiropractic located in Manasquan NJ is an independent locally owned and operated practice serving Monmouth and Ocean Counties for over twenty years. This independent structure allows freedom for our staff to work collaboratively in our open concept 4500 square foot gym/office to treat our patients as a team. We are actively looking for a Office Manager/Administrator to become a valued member of our team. Position Summary The Office Manager/Administrator is responsible for overseeing daily front office operations to ensure efficient, accurate, and patient-centered administrative support. This role manages office staff, coordinates scheduling workflows, verifies insurance and authorizations, Raintree EHR, insurance billing and ensures financial accuracy through daily, weekly, and monthly cash reconciliation processes. Key Responsibilities Office Operations & Team Oversight ? Supervise and support front office administrative staff to ensure high performance and accountability ? Establish and maintain efficient workflows for patient intake, scheduling, and communication ? Ensure compliance with company policies, procedures, and HIPAA regulations ? Serve as the primary point of contact for administrative escalations and problem resolution Insurance Verification & Authorizations ? Verify patient insurance benefits and eligibility prior to initial visits ? Obtain and track authorizations to ensure compliance with payer requirements ? Communicate coverage details, limitations, and financial responsibilities to patients ? Collaborate with clinical and billing teams to ensure accurate and timely documentation Scheduling & Patient Management ? Oversee patient scheduling to optimize provider productivity and clinic flow ? Monitor patient status, including evaluations, follow-ups, and plan of care adherence ? Identify and address scheduling gaps, cancellations, and no-shows ? Ensure timely follow-up with patients to maintain continuity of care Financial Management & Reconciliation ? Perform daily cash collection reconciliation, including copays, balances, and payments ? Complete weekly and monthly financial consolidation and reporting ? Ensure accurate documentation and tracking of all financial transactions ? Partner with billing and revenue cycle teams to resolve discrepancies Reporting & Performance Monitoring ? Track and report key performance indicators (KPIs) including scheduling efficiency, collections, and patient volume ? Identify trends and implement process improvements to enhance operational performance ? Support leadership with data analysis and operational reporting as needed Qualifications ? Bachelor's degree preferred or equivalent work experience ? 2+ years of experience in a medical office-Physical Therapy/Chiropractic ? Prior supervisory or leadership experience preferred ? Strong understanding of insurance verification, authorizations, and healthcare billing processes ? Proficiency in EMR systems and Microsoft Office (Excel, Word) Raintree ? Excellent organizational, communication, and problem-solving skills Core Competencies ? Attention to detail and accuracy ? Strong leadership and team management skills ? Ability to multitask and prioritize in a fast-paced environment ? High level of professionalism and patient service orientation ? Financial acumen and accountability Work Environment ? Fast-paced outpatient clinical setting ?
