Job Description:
A small, well-established CPA firm is seeking a highly organized and detail-oriented Office Manager / Administrative Assistant to support partners and staff with day-to-day administrative operations. This individual will play a key role in ensuring the office runs efficiently, particularly during busy tax and audit seasons. The ideal candidate is proactive, tech-savvy, and comfortable working in a fast-paced professional services environment.
Key Responsibilities:
Provide administrative support to partners and accounting staff across tax, audit, and client service functions Coordinate and manage workflow related to tax return preparation, including organizing client documents and tracking deadlines Prepare, format, and assemble financial reports, tax returns, and client deliverables Serve as a point of contact for client communications, including scheduling meetings and responding to inquiries Maintain and organize electronic and physical filing systems Assist with billing, invoicing, and general office bookkeeping tasks as needed Support audit and accounting engagements through document preparation and coordination Manage general office operations, including supplies, mail, and overall office organization Ensure accuracy and completeness of administrative processes and documentation
Qualifications:
Prior experience in an administrative, office management, or support role (CPA firm or professional services environment preferred) Strong computer skills, including Microsoft Office (Word, Excel, Outlook) Familiarity with QuickBooks and/or UltraTax is a plus Excellent organizational and time management skills with the ability to prioritize multiple tasks Strong attention to detail and accuracy Professional communication skills, both written and verbal Ability to work independently and as part of a team
