SUMMARY:
Oversee daily operations of the Mail Room and Copy Center to ensure efficient, cost-effective delivery of mail, messenger, and reprographic services. This role involves supervising a team, maintaining high service standards, and collaborating with internal and external stakeholders to support business needs.
KEY RESPONSIBILITIES
Lead and manage the day-to-day functions of the Mail Room and Copy Center in Philadelphia, including team supervision, task delegation, and workflow optimization Act as the primary point of contact for mailroom and copy center customer service issues, ensuring prompt and professional service delivery Collaborate with the Operations Manager to assess team performance, identify process improvements, and implement best practices Monitor and manage the conference room reservation system; coordinate room setup and turnaround to support meeting requirements Conduct daily floor inspections to ensure all operational standards and requirements are consistently met Assist in conducting performance evaluations and training programs to promote staff development and continuous improvement Develop and implement strategies aimed at enhancing operational efficiency and reducing costs Monitor departmental spending and assist in the preparation of annual budgets. Provide operational support to regional offices and contribute to special initiatives or projects as needed Assist with office relocations and expansions Manage postage by phone account and process invoices
PREFERRED QUALIFICATIONS
Strong relationship-development, communication, and proactive client service skills are essential Demonstrated experience providing hands-on leadership and operational management in a professional environment 5+ years of experience at a law firm or comparable professional services firm desired Flexibility and ability to adapt to diverse work styles Must be outgoing, comfortable demonstrating initiative, and able to think critically and creatively. Strong sense of responsibility and accountability, with a focused commitment to responsiveness and meeting deadlines
