Overview We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in maintaining efficient workflows, supporting staff, and providing exceptional customer service. The ideal candidate will bring a proactive attitude, excellent organizational skills, and a passion for creating a welcoming and productive workplace. As an Office Manager, you will be the backbone of our office, managing administrative tasks with energy and precision to help our team thrive. Responsibilities Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing outstanding customer support. Oversee office supplies inventory, procurement, and filing systems to ensure all departments are well-equipped. Coordinate calendar management, schedule meetings, and organize appointments for staff and executives. Handle data entry, bookkeeping using QuickBooks or similar software, and maintain accurate records of financial transactions. Supervise clerical tasks such as proofreading documents, managing correspondence, and maintaining organized filing systems. Support office management duties including onboarding new employees, maintaining office policies, and ensuring compliance with safety protocols. Provide bilingual support when needed to assist diverse team members or clients effectively. Skills Proven experience in office management or administrative roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Excellent computer literacy with the ability to handle data entry, document proofreading, and basic bookkeeping tasks. Familiarity with multi-line phone systems, phone etiquette, and customer service best practices. Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively. Experience with clerical duties such as filing, calendar management, and record keeping. Bilingual abilities are highly valued to support a diverse workplace environment. Personal assistant or medical/dental receptionist experience is a plus for handling specialized client interactions.
