Full Job Description Position Summary:
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The Office Administrator will be responsible for providing administrative support and the smooth operation of our office.
Responsibilities:
Provide general administrative support. Supporting operations for key accounts. Manage Fleet (Fuel Cards, Registration, Maintenance). Answering phone calls, responding to emails, and handling office correspondence. Managing phone system as the primary administrator to include changing messages and managing company lines. Maintain and distribute company phone list. Coordinating office events/parties by facilitating event logistics to include decorations and the ordering and picking up catered food. Maintaining subcontractor compliance and source contractors when awarded new work. Manage and maintain an organized filing system. Retrieving Certificates of Insurance from our companys General Liability, Automobile and Workers Comp agents and submitting to General Contractors for projects. Manage travel arrangements for employees, as needed. Holidays cards to customers and vendors. As needed errands for Owner of the company. Other administrative related tasks as assigned.
Skills:
Strong organizational skills with the ability to multitask and prioritize tasks effectively. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint). Experience with Google Workspace. Excellent communication skills, both written and verbal. Attention to detail and accuracy in all work tasks. Ability to maintain confidentiality when handling sensitive information. Experience with phone systems and general office equipment. Bilingual English/Spanish (required).
