Office Manager & Bookkeeper Location:
Hackensack, NJ Salary Range:
$55,000-$60,000 per year Company Overview Founded in 1985, our client is a family-owned and operated men's wholesale and retail company specializing in the design, manufacturing, merchandising, and sales of dress and casual men's clothing. Headquartered in Hackensack, NJ, they serve over 350 stores across the United States and British Virgin Islands, as well as consumers through their online store. Position Overview We are seeking a detail-oriented, organized, and proactive Office Manager & Bookkeeper to join our team. Approximately half of this role is dedicated to bookkeeping functions — primarily accounts receivable, accounts payable, and financial recordkeeping in QuickBooks — with the remainder focused on office administration and sales support. The ideal candidate brings hands-on bookkeeping experience, thrives in a fast-paced environment, and is comfortable managing a diverse set of responsibilities with minimal supervision. Key ResponsibilitiesAccounting & Bookkeeping Manage full-cycle accounts receivable in
QuickBooks:
generate and send customer invoices, post incoming payments (check, ACH, credit card, wire), and maintain aging reports across 350+ wholesale accounts Manage accounts payable in
QuickBooks:
enter vendor bills, schedule and process payments, and reconcile vendor statements Handle chargebacks from retail customers: research discrepancies, initiate disputes, and maintain thorough documentation Conduct collections follow-up on past-due accounts via phone and email Perform monthly bank reconciliations and ensure accuracy of all financial records Maintain precise records of all financial transactions across payment types Reconcile expense reports and ensure proper supporting documentation Assist with payroll processing as needed Administrative Support Manage daily office operations to ensure a clean, organized, and efficient workspace Maintain office supplies and equipment Coordinate incoming and outgoing shipments via FedEx, UPS, and USPS Arrange travel logistics for staff as needed Sales Support Assist the sales team with customer order entry during peak selling seasons Coordinate trade show registrations, booth setup, and sample shipments Prepare weekly, monthly, and annual reports as needed Customer Service Direct customer inquiries to the appropriate team members Provide product and sales information to customers via email Qualifications and Skills 2-5 years of experience in bookkeeping, office management, or administrative support; candidates with a strong bookkeeping background are encouraged to apply even if office management experience is limited Hands-on experience with QuickBooks (Desktop and/or Online) required , specifically in accounts receivable, accounts payable, bank reconciliation, and reporting Experience with wholesale or B2B billing a plus, given the volume of accounts managed Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Strong organizational skills with the ability to manage multiple priorities and meet deadlines Excellent verbal, written, and interpersonal communication skills Ability to handle confidential financial information with discretion Self-motivated and able to work independently while knowing when to escalate Experience supporting a sales team is a plus but not required Fluency in English, written and spoken Work Hours and Environment Full-time position Monday-Friday, 9:00 AM-6:00 PM In-person role at our Hackensack, NJ office Benefits Generous health, vision, and dental plans Paid vacation and sick leave
