We operate at the intersection of medical and dental care , working closely with physicians and healthcare providers to deliver advanced treatment solutions for patients suffering from chronic pain and sleep-related breathing disorders. Our practice is expanding quickly, and we are building a team that is both patient-focused and performance-driven . Position Overview Position Overview This is a leadership-level role responsible for both treatment coordination and office management . Offering a competitive salary based on experience + performance-based bonuses.
You will be responsible for:
Managing treatment plans and case acceptance Overseeing front desk and administrative operations Ensuring proper handling of medical insurance and billing workflows Driving overall practice efficiency and patient experience We are looking for someone who understands how to run a medical office , not just work in one. This position offers an exciting opportunity to contribute to a patient-centered environment where exceptional service and seamless administrative support are paramount. Key Responsibilities Treatment Coordination & Case Management Present treatment plans and guide patients through next steps Explain procedures, timelines, and financial responsibilities Improve case acceptance and patient conversion rates Coordinate care plans and follow-ups Assist with referrals to outside doctors and diagnostic services Office Management Oversee daily operations of the front desk and administrative team Manage scheduling efficiency and provider calendars Ensure smooth patient flow and operational organization Identify and implement process improvements Team Leadership Support and manage front desk and coordination staff Maintain accountability for performance and workflow standards Help train and onboard new team members Skills Experience working in a medical or dental office in a leadership or coordinator role Proven ability to manage office operations and patient workflows Proficiency with EMR/EHR systems such as Epic, Intergy, Athenahealth, eClinicalWorks etc. for documentation management Strong organizational skills with the ability to efficiently handle multiple tasks and patient inquiries in a fast-paced environment Experience with CRM software (Hubspot, salesforce etc) is preferred Excellent computer skills including Microsoft Office suite (Word, Excel) and familiarity with office management software like Office 365 or similar platforms Background in sleep medicine, dental, ENT, or specialty medical practices preferred but not necessary Exceptional customer service skills with a friendly demeanor and effective phone etiquette in handling patient inquiries and appointment scheduling Bilingual abilities are highly desirable to serve diverse patient populations effectively Previous clinic or dental office experience is preferred; familiarity with dental terminology and dental office management systems like SoftDent, Dentrix or Eaglesoft is a plus Ability to handle sensitive health information in compliance with HIPAA regulations while maintaining confidentiality at all times Key Traits Highly organized and detail-oriented Strong communication and patient-facing skills Confident in discussing treatment plans and finances Ability to manage multiple priorities in a fast-paced environment Leadership mindset with a proactive, problem-solving approach Join us in delivering outstanding patient service by providing essential administrative support that keeps our healthcare facility running smoothly.
