  • Job Summary
  • We are seeking a skilled Office Manager to join our precision machine shop. The ideal candidate will be responsible for managing orders from entry to completion, maintaining vendor + customer relationships and supporting HR administrative tasks. A background in the manufacturing industry is preferred.
  • Key Responsibilities
  • Manage day-to-day office operations including scheduling, correspondence, office supplies orders and front-desk functions Process and track customer orders, work orders, and job travelers from intake through delivery Coordinate with shop floor supervisors to communicate job status, deadlines, and priority changes to customers Maintain vendor and supplier relationships; issue purchase orders and reconcile invoices Perform accounts payable/receivable functions, billing, and basic bookkeeping (QuickBooks or similar) Prepare quotes, packing slips, shipping documents, and certificates of conformance Manage inventory records for customer parts Maintain employee records, assist with onboarding, and support HR administrative tasks Ensure compliance documentation is current (safety records, fire inspections, etc) Serve as the primary point of contact for incoming calls, emails, and walk-in customers •Qualifications •5+ years of office management or administrative experience, preferably in a manufacturing environment (familiarity with tolerances, materials, machining processes, blueprints / drawings) Proficiency in Microsoft Office Suite (Word, Excel, Outlook); familiarity with ERP or shop management software Experience with bookkeeping software (QuickBooks preferred) and basic accounting principles Strong organizational skills with the ability to manage multiple priorities in a fast-paced shop environment; leaves desk clean at end of the day Excellent written and verbal communication skills; comfortable interacting with customers, vendors, and shop staff High school diploma or equivalent required; associate's degree or higher in business or related field preferred •Working Hours •Monday to Friday, 7:30 AM - 4:00 PM •Compensation •$28 - 33 Per Hour Pension plan / 401 K Life Insurance 2 weeks PTO / sick leave End of year bonus Heath insurance Vision plan You should be proficient in: Leadership / People Management Bachelor's Degree Standard Operating Procedures (SOPs) Machines & technologies you'll use: ERP Software Accounting Software (Quickbooks)
