Job Description

Job Summary We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and attention to detail will support our team's productivity, enhance customer support, and maintain a welcoming environment for visitors and staff alike. This position offers an exciting opportunity to showcase your administrative expertise while contributing to a vibrant workplace culture. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette. Operate multi-line phone systems to handle incoming calls, transfer messages, and provide excellent customer service. Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office applications. Perform data entry tasks accurately using computer skills such as typing, proofreading, and record keeping. Oversee calendar management for appointments, meetings, and events, ensuring efficient time management for staff. Assist with bookkeeping duties using QuickBooks or similar accounting software, including invoicing and expense tracking. Support office management activities such as supply ordering, inventory control, and maintaining a clean, organized workspace. Provide clerical support including copying, scanning, faxing, and preparing documents for meetings or client correspondence. Handle customer support inquiries via phone or email promptly and professionally to foster positive relationships. Coordinate with team members on administrative projects and ensure timely completion of tasks. Skills Proven experience in office management or administrative roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools. Excellent communication skills with the ability to handle phone calls with professionalism and courtesy. Bilingual abilities are a plus to serve diverse client needs effectively. Experience with front desk operations and multi-line phone systems is highly desirable. Strong computer literacy including data entry, proofreading, filing, and general clerical tasks. Knowledge of QuickBooks or bookkeeping software for financial recordkeeping is advantageous. Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment. Previous experience in medical or dental receptionist roles is beneficial but not required. Personal assistant experience or calendar management skills will help support executive needs effectively.
