POSITION OVERVIEW
We are seeking an experienced Office Manager to join our established wholesale fashion company. This role requires strong proficiency in QuickBooks, advanced Excel skills, and event management experience to support our daily operations and trade show activities.
REQUIRED SKILLS
QuickBooks (QuickBooks Desktop, QuickBooks Online, QB) Microsoft Excel (Excel spreadsheets, Excel reporting, advanced Excel) Event Management (trade show coordination, event planning, event logistics) Accounts Receivable/Accounts Payable Financial Reconciliation Payroll Processing Multi-tasking in fast-paced environments Strong organizational and communication skills
TECHNICAL PROFICIENCIES
Accounting Software:
QuickBooks (required),
QuickBooks Online Spreadsheet Software:
Microsoft Excel (advanced), Excel formulas, pivot tables, data analysis
Event Coordination:
Trade show management, vendor coordination, logistics planning
Office Software:
Microsoft Office Suite, email management
KEY RESPONSIBILITIES
QuickBooks & Financial Management:
Manage accounts receivable and accounts payable using QuickBooks Reconcile payroll and employee reimbursements in QuickBooks Handle collections, chargebacks, and payment reconciliation Process payments & collections with invoices in QuickBooks Process multiple payment types (cash, check, credit card, ACH) Maintain accurate financial records and transaction documentation Generate QuickBooks reports for management review
Excel Reporting & Data Management:
Create and maintain Excel spreadsheets for sales tracking and financial analysis Prepare weekly, monthly, and annual reports using Excel Develop Excel reports for management decision-making Reconcile expense reports and financial data in Excel Maintain databases and perform data entry with accuracy Use advanced Excel functions for data analysis
Event Management & Trade Show Coordination:
Coordinate trade show registrations and booth logistics Manage event timelines and vendor relationships Arrange sample shipments and booth setup for trade shows Handle travel arrangements and accommodations for events Coordinate pre-event and post-event administrative tasks Manage event budgets and vendor invoicing
General Office Administration:
Answer and direct phone calls professionally Manage office supplies and inventory Handle incoming and outgoing mail and packages Maintain organized filing systems (physical and digital) Support team with administrative tasks as needed Ensure smooth daily office operations
QUALIFICATIONS
Required:
2+ years experience with QuickBooks (Desktop or Online)

Experience coordinating events or trade shows Strong attention to detail and accuracy Excellent organizational and time management skills Ability to prioritize multiple tasks in a fast-paced environment Professional communication skills (written and verbal) Self-motivated with ability to work independently Experience in wholesale, fashion, or retail industry preferred
