Job Description

Job Summary We are seeking an energetic and highly organized Office & Project Manager to lead the daily operations of our dynamic office environment. The Office & Project Manager serves as the central hub of communication and coordination for the company. This position combines office management responsibilities with project management support, ensuring efficient business operations, accurate project documentation, timely scheduling, and strong communication between field crews, subcontractors, clients, and management. Responsibilities Office Management Manage daily office operations and administrative functions. Answer phones, respond to emails, and serve as point of contact for clients and vendors. Maintain company records, contracts, permits, insurance certificates, and project documentation. Coordinate office supplies, equipment, and vendor relationships. Assist with bookkeeping, invoicing, accounts payable/receivable, and payroll support. Develop and maintain efficient office systems and procedures. Project Management & Coordination Assist in planning, scheduling, and tracking construction projects from start to completion. Coordinate with project managers, superintendents, subcontractors, suppliers, and clients. Track project timelines, budgets, change orders, and deliverables. Schedule inspections, meetings, subcontractors, and material deliveries. Prepare project reports, meeting minutes, and progress updates. Ensure project documentation is organized, accurate, and up to date. Monitor permit applications and compliance requirements. Support bidding and estimating efforts by gathering documentation and vendor pricing. Communication & Client Relations Maintain professional communication with clients throughout the project lifecycle. Address client inquiries and route issues to appropriate team members. Coordinate project meetings and distribute relevant updates. Foster strong relationships with subcontractors and suppliers. Manage daily office operations, including front desk duties, multi-line phone systems, and visitor reception to ensure a professional and friendly environment. Oversee schedule management for staff meetings, appointments, and company events, ensuring calendars are up-to-date and conflicts are minimized. Handle bookkeeping tasks such as invoicing, expense tracking, payroll processing using QuickBooks, and budget monitoring to maintain financial accuracy. Maintain filing systems and ensure compliance with organizational policies. Qualifications Experience in the construction industry preferred. Strong organizational and multitasking abilities. Excellent written and verbal communication skills. Proficiency with Microsoft Office Suite and project management software. Experience with construction management software (e.g., Buildertrend, Procore, or JobTread) is a plus. Basic understanding of construction processes, contracts, and scheduling. Ability to prioritize tasks and meet deadlines in a fast-paced environment. Detail-oriented with strong problem-solving skills. Excellent organizational skills with the ability to manage multiple priorities efficiently. Effective communication skills coupled with professional phone etiquette for front desk interactions. Experience with calendar management, scheduling software, and multi-line phone systems. Ability to handle vendor management tasks and oversee budgeting processes accurately. Preferred Skills Construction accounting or bookkeeping experience. Knowledge of permitting and inspection processes. Experience managing multiple projects simultaneously. Ability to read construction plans and specifications.
Pay:
$30.00 - $60.00 per hour
