This role is vital in ensuring smooth daily operations, managing staff, overseeing financial processes, and maintaining compliance with healthcare regulations. The ideal candidate will bring a positive approach, is highly organized, detail-oriented, and capable of managing multiple priorities in a healthcare environment. Responsibilities Office & Operations Management Oversee day-to-day office operations to ensure smooth and efficient workflow Human Resources & Personnel Management Assist with onboarding and training of employees Maintain employee personnel files and records Monitor employee attendance, timekeeping, and PTO records Support performance management and employee evaluations Address employee concerns and facilitate effective communication among staff Insurance Credentialing & Compliance Manage provider credentialing and re-credentialing with insurance companies Track and maintain CAQH profiles and payer enrollment requirements Ensure all providers maintain active participation status with contracted payers Monitor expiration dates for provider licenses, certifications, malpractice insurance, and continuing education requirements Maintain accurate compliance documentation and records Billing & Financial Support Possess general knowledge of medical billing processes, insurance verification, authorizations, and claims management Assist billing staff with resolving insurance denials and payment issues when necessary Supervise front desk, administrative, and support staff Develop and implement office policies and procedures Maintain office supplies and equipment Ensure compliance with HIPAA and other healthcare regulations Requirements Bachelor's degree preferred, equivalent healthcare administration experience considered Preferred Skills Experience in physical therapy or outpatient rehabilitation settings Knowledge of insurance payer requirements and credentialing platforms Strong problem-solving and multitasking abilities Ability to work independently and collaboratively in a fast-paced environment Minimum of 3 years of office management experience, preferably in a healthcare or physical therapy setting Knowledge of medical terminology, insurance credentialing, and healthcare compliance requirements Familiarity with medical billing practices and electronic medical record (EMR) systems; Experience with Tebra and WebPT are a plus. Strong leadership, organizational, and communication skills Ability to manage confidential information with professionalism and discretion Proficiency in Microsoft Office, Google business suite, and healthcare management software Benefits Competitive salary commensurate with experience Health insurance benefits Paid time off and holidays Retirement plan options Life and Disability policies.
