Job Description

Overview We are a medical & dental construction company seeking a friendly, organized, and proactive Office Manager to join our team full-time in West Caldwell, NJ. This role is ideal for someone who enjoys balancing administrative responsibilities with client communication and office coordination in a fast-paced environment. The ideal candidate is detail-oriented, outgoing, and comfortable handling a variety of office tasks including contracts, COI & audits, billing, invoicing, and day-to-day operations support. Experience with Excel and QuickBooks Online is strongly preferred. What You'll Do Write up and manage client contracts and project documentation Handle billing, invoicing, and payment tracking Work directly with insurance providers to oversee COI requests and audit processes Maintain and update records using Excel and QuickBooks Online Communicate professionally with clients and vendors Keep the office organized and running efficiently Support office administration and day-to-day operations Assist with scheduling, filing, and coordinating internal tasks as needed Requirements Previous office administration or office management experience preferred Experience with QuickBooks Online and Microsoft Excel Strong organizational and multitasking skills Excellent communication and interpersonal abilities Friendly, professional, and outgoing personality Ability to work independently and stay detail-oriented in a fast-paced environment Construction industry experience is a plus, but not required This is a full-time, in-person role based in West Caldwell, NJ, with flexibility to work remotely on Fridays.
Pay:
$25.00 - $28.00 per hour
