The position will be an in- office 5 days a week role and work directly with the Firm's Owner, Leaders and Operations administrators. This role will manage the day to day and be an anchor in our Woodbridge, NJ based office as well as support the administrative functions for the Firm's Owner and the Operations BOH Team. The ALS Group is an insurance advisory firm providing insurance consulting services to business and industry for over 30 years. Our firm provides outsourced risk management services to a diverse base of clients ranging in size from mid-market regional companies to large national accounts. Our clients are involved in many industries such as retail, real estate, construction, manufacturing, energy, etc. We work closely with our clients as their "outsourced risk manager" and assist in the design, management, and purchase of their corporate insurance/risk management programs. We work in a fast-paced environment where the ability to multi-task and excellent communication skills are essential. We are a fee-based advisory practice that does not broker or sell insurance. Personal assistant experience or previous office experience that showcases strong organizational and time management skills. Our main office is located in Woodbridge, NJ and would work closely with the Administrators based in our 2nd office, located at 1800 NW Corporate Blvd. in Boca Raton, FL.
General Requirements:
Minimum of 5 years' experience in an Executive Assistant/ Office Management role; Excellent technology, organizational and problem-solving skills are a must; Proficient with MS Office (Excel, Word, Outlook); Experience with PowerPoint is a plus; Strong attention to detail and the ability to multi-task; Ability to handle a large volume of email communication and balance that with competing demands at any given time; Excellent communication, time management and follow up skills; Travel to FL office approx. 2x per year/onboarding and training travel as needed Bachelor's degree preferred; Ability to work independently with little supervision while connecting with the FL team and collaborating daily on workflow/any open items or necessary projects needing support.
Responsibilities:
Oversee and support all administrative functions of the office as well as provide direct administrative support to the Owner/Leadership Team; Human Resource admin support as needed; New client set up in internal database as well as on internal shared drive; Manage day-to-day follow ups for anything outstanding; Manage Owner's calendar and travel as well as daily billing capture as needed; Manage corporate calendar and coordinate in house events based in NJ; Sit in on internal meetings, take meeting minutes and update agendas; Represent the firm to the community and create a presence in Woodbridge, NJ; Administrative or project-related tasks as needed or as assigned.
Pay:
$60,000.00 - $75,000.00 per year
