Job Description
Overview We are seeking a dynamic and highly organized Office Administrator to join our team! This vital role ensures the smooth and efficient operation of our office environment, providing exceptional support to staff, clients, and visitors alike. The ideal candidate will thrive in a fast-paced setting, demonstrating excellent organizational skills, strong communication abilities, and a proactive attitude. As an Office Administrator, you will be the backbone of our daily operations, fostering a welcoming atmosphere while managing essential administrative functions with precision and enthusiasm. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems, handle incoming calls, and provide prompt customer support or route calls to the correct departments Perform data entry tasks using Microsoft Office Suite and Google Workspace to maintain accurate records and files Oversee office management duties including filing, proofreading documents, and maintaining organized office supplies Schedule appointments, manage calendars, and coordinate meetings for staff using efficient time management practices Assist with bookkeeping tasks utilizing QuickBooks or similar accounting software to support financial recordkeeping Provide clerical support such as typing correspondence, managing email communications, and supporting personal assistant duties as needed Requirements Proven office experience with strong organizational skills and attention to detail Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Familiarity with QuickBooks or other bookkeeping software is preferred Excellent phone etiquette and customer service skills; bilingual abilities are a plus for effective communication with diverse clients Experience with front desk operations, multi-line phone systems, data entry, filing, and proofreading Strong computer literacy combined with effective time management skills to prioritize tasks efficiently Previous experience in medical or dental receptionist roles is advantageous but not required Demonstrated ability to handle clerical tasks such as calendar management, typing accurately, and supporting administrative functions Join us as an Office Administrator and become an essential part of a vibrant team dedicated to excellence!
