Office Administrator Perfectly Imperfect - 2.4 Albuquerque, NM Job Details Temp-to-hire | Full-time $15 - $20 an hour 16 hours ago Benefits Flexible schedule Qualifications HIPAA Administrative experience High school diploma or GED Document management Associate's degree Full Job Description The Office Administrator is responsible for overseeing the daily administrative operations of a substance abuse treatment facility, ensuring efficient office management and providing support to clinical staff, clients, and leadership. This role serves as the first point of contact for clients and visitors, maintaining a professional, welcoming, and confidential environment while supporting the organization's mission of providing quality behavioral health and recovery services.
Key Responsibilities:
Manage front office operations, including reception, phone systems, scheduling, and client intake procedures. Maintain accurate client records and ensure compliance with HIPAA, confidentiality standards, and agency policies. Coordinate appointments, staff schedules, meetings, and facility communications. Assist with admissions, insurance verification, authorizations, and collection of required client documentation. Process correspondence, reports, billing information, and other administrative documentation. Support clinical and management staff with administrative tasks, data entry, filing, and record management. Monitor office supplies, equipment, and facility needs; coordinate purchases and vendor services as necessary. Maintain electronic health records (EHR) systems and ensure data accuracy and completeness. Prepare reports, track program statistics, and assist with regulatory audits and accreditation requirements. Handle client inquiries professionally and direct concerns to appropriate staff members. Ensure a safe, organized, and professional office environment that supports client recovery services.
Qualifications:
High school diploma or equivalent required; associate's or bachelor's degree preferred. Previous administrative or office management experience, preferably in healthcare, behavioral health, or substance abuse treatment settings. Knowledge of HIPAA regulations, medical records management, and insurance processes preferred. Strong organizational, communication, and multitasking skills. Proficiency in Microsoft Office Suite, electronic health records systems, and standard office equipment. Ability to maintain confidentiality and exercise discretion when handling sensitive information. Demonstrated ability to work effectively with diverse populations, including individuals in recovery and their families.
