Full Job Description Position Summary:
We are seeking a reliable and detail-oriented Warehouse Office Administrator to support daily operations at our New Mexico branch. This position serves as the primary communication link between customers, sales, warehouse personnel, and carriers. The ideal candidate will possess strong administrative skills, excellent phone etiquette, and the ability to learn company-specific systems while maintaining accurate records and supporting warehouse operations. Schedule:
Monday through Friday, 8:00 AM - 4:00 PM Requirements:
High school diploma or equivalent required. 2+ years of administrative, clerical, customer service, or warehouse office experience preferred. Experience working in a warehouse, distribution, logistics, transportation, or food service environment is preferred. Ability to learn new software programs and office systems quickly. Strong organizational skills with the ability to manage multiple priorities. Dependable, professional, and detail-oriented. Ability to maintain confidentiality when handling company records and financial information. Job Duties:
Answer and direct incoming phone calls professionally and efficiently. Make outbound calls to vendors, and branch personnel regarding orders, deliveries, and operational needs. Coordinate sales orders and shipping activities between customers, warehouse staff, and transportation providers. Communicate regularly with the Arizona branch regarding inventory, shipments, orders, and company operations. Fax orders, invoices, shipping documents, and other business information between branch locations. Process, organize, scan, file, and maintain physical and electronic records. Perform data entry and maintain accurate inventory, customer, and shipping records. Handle company funds, customer payments, and financial documentation according to company procedures. Assist with order processing, shipping documentation, invoices, and bills of lading. Track shipments and provide status updates to customers and internal staff. Order and maintain office supplies and administrative materials. Support warehouse management with various administrative projects and operational tasks. Skills:
Excellent verbal and written communication skills. Professional phone etiquette and customer service abilities. Strong multitasking and time management skills. Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook. Experience with multi-line phone systems, fax machines, scanners, copiers, and general office equipment. Accurate data entry and recordkeeping skills. Strong attention to detail and problem-solving abilities. Experience with inventory, shipping, logistics, or warehouse management systems is a plus. Pay:
