Operate multi-line phone systems efficiently to ensure seamless communication within the organization. Oversee calendar management and scheduling for meetings, appointments, and office events using tools like Google Workspace and Microsoft Office. Maintain accurate data entry, filing systems, and record keeping to support administrative functions. Perform clerical duties such as proofreading documents, managing correspondence, and preparing reports. Coordinate office supplies procurement, inventory management, and equipment maintenance to ensure operational readiness. Provide exceptional customer service by supporting internal teams and external clients with professionalism and responsiveness. Assist with bookkeeping tasks using QuickBooks or similar software to track expenses and manage invoices. Support personal assistant responsibilities including travel arrangements, calendar updates, and task prioritization as needed. Ensure the office environment adheres to safety protocols and maintains cleanliness for a welcoming workspace. Qualifications Proven experience in office management or administrative roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Excellent computer literacy with familiarity in data entry, filing systems, and basic bookkeeping software such as QuickBooks. Strong customer service skills combined with professional phone etiquette and multi-line phone system operation. Bilingual abilities are a plus to support diverse client interactions. Previous clerical experience including proofreading, document preparation, and calendar management. Ability to handle multiple tasks efficiently while demonstrating excellent time management skills.
