This role supports executive leadership and project teams by ensuring efficient office operations, managing project documentation, coordinating bid and contract administration, and supervising office staff. The ideal candidate will have 10+ years of administrative experience in the construction industry, strong organizational skills, and the ability to manage multiple priorities in a fast‑paced environment. Key Responsibilities Office Operations Oversee day-to-day office operations and administrative procedures Supervise and manage office administrative staff Maintain organized project files, contracts, insurance, permits, and correspondence Serve as the primary administrative contact for vendors, subcontractors, and clients Coordinate internal meetings and office logistics Project Start-Up Assemble project files including contracts, insurance certificates, and permits Coordinate subcontractor onboarding documentation (insurance, W‑9s, contracts) Contract Administration Track contracts, subcontract agreements, and change orders Maintain documentation including insurance certificates, lien waivers, and compliance records Financial & Administrative Support Oversee weekly payroll processing for office and field staff Assist with invoice processing, purchase orders, and vendor documentation Support accounts payable and accounts receivable coordination Maintain vendor and subcontractor compliance documentation Executive Support Provide administrative support to company leadership Coordinate executive calendars, meetings, and reports Assist with presentations and internal communications Qualifications Minimum 10 years of administrative or office management experience specifically in construction Bachelor's degree or higher preferred but not required Experience supervising administrative staff Experience managing or coordinating weekly payroll Strong knowledge of construction documentation (RFIs, submittals, change orders, contracts) Experience with construction or accounting software (Procore and QuickBooks) Proficiency in Microsoft Office (Excel, Word, Outlook) Strong organizational and communication skills What We Offer Competitive salary, based on experience Full medical benefits Opportunity to participate in profit sharing
