Job Description

Part-time | 20 hours/week, 4 days/week | $25/hour On-site in Downtown Buffalo Paid parking provided Trysail Strategies - a boutique public affairs agency - is seeking a highly organized, proactive Executive Assistant & Office Manager to support the Managing Director and keep the day-to-day operations of a fast-moving firm running smoothly. About the Role The Executive Assistant manages the daily rhythm of the Managing Director's work - calendar, correspondence, task flow, and follow-through - and anticipates needs before they become problems. The role requires sharp judgment, strong written and verbal communication, and the ability to interact professionally with clients, strategic partners, and team members. A successful candidate is comfortable in a client-driven environment, excellent at follow-through, and able to maintain exceptional standards of discretion and confidentiality. Trysail supports clients in public affairs, issues management, and crisis communications, and works with Indian tribes, trade associations, and corporate, higher-ed, and nonprofit clients. An interest in public affairs and tribal advocacy is appreciated. Key Responsibilities Executive Support & Calendar Management
  • Manage and structure the Managing Director's calendar, including prioritization, time blocking, and task-based scheduling.
  • Schedule internal and external meetings, including cross-time-zone coordination, follow-up, and conflict resolution.
  • Anticipate the Managing Director's needs and help resolve scheduling, operational, and administrative issues before they arise.
  • Draft email correspondence and prepare materials for meetings and client interactions.
  • Add tasks and assignments to Basecamp; coordinate project updates and flag items for the Managing Director's review.
  • Reconcile corporate credit card charges in the expense tracking system.
  • Process and send client invoices.
  • Run occasional personal errands (lunch pickup, etc.). Office Operations
  • Support day-to-day operational needs of the downtown Buffalo office.
  • Keep office supplies and the fridge stocked; handle occasional shopping trips.
  • Light office cleaning and upkeep.
  • This is a fluid role - priorities shift with client demands, and adaptability is a core trait of the position. Qualifications
  • Bachelor's degree preferred.
  • At least two years of experience in office coordination, operations, or an executive assistant role - ideally in a service-sector environment.
  • Highly organized, detail-oriented, and proactive, with the ability to anticipate needs.
  • Strong problem-solving skills and sound judgment under pressure.
  • Excellent verbal and written communication skills.
  • Ability to maintain discretion and confidentiality with sensitive information.
  • Proven success managing multiple priorities in a fast-paced environment.
  • Advanced proficiency with Microsoft Office Suite and Teams.
  • Experience with Basecamp or a similar project management tool a plus.
  • Strong interpersonal skills; able to work professionally with clients, strategic partners, and team members.
  • Reliable access to a car for occasional office and personal errands. Details
