This vital role combines executive administrative support with comprehensive office management, ensuring smooth daily operations and seamless coordination across departments. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional organizational skills, proactive problem-solving, and a positive attitude. You will be the backbone of our office, managing schedules, coordinating projects, and providing top-tier support to leadership while maintaining an efficient and welcoming workplace. Duties Provide comprehensive administrative support to executives, including calendar management, email correspondence, and meeting coordination using tools like iCalendar, Microsoft Office and Google Workspace. Manage office operations efficiently by overseeing supply inventory, coordinating maintenance requests, and supervising front desk activities to ensure a professional environment. Assist with bookkeeping and financial tasks using QuickBooks, including invoicing, expense tracking, and basic data entry to maintain accurate financial records. Coordinate projects across departments by tracking deadlines, preparing reports, proofreading documents for accuracy, and ensuring timely completion of tasks. Handle phone etiquette with multi-line phone systems and manage correspondence via email or traditional mail with professionalism and clarity. Support document management processes such as filing, transcription, proofreading, and digital record keeping using Office Suite applications like Microsoft Word and Google Docs. Requirements Proven experience as an executive assistant or office manager with strong administrative skills in a professional setting. Demonstrated expertise in office management functions including supply ordering, facilities coordination, and front desk responsibilities. Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and familiarity with DocuSign for electronic signatures. Experience with bookkeeping software such as QuickBooks along with basic bookkeeping knowledge including invoicing and expense reconciliation. Excellent organizational skills with keen attention to detail; ability to multitask effectively in a fast-paced environment. Strong communication skills with polished phone etiquette and customer service orientation. Ability to handle data entry accurately while maintaining confidentiality of sensitive information. Competency in project coordination, event planning, proofreading, and transcription. High school diploma or equivalent required; additional certifications or training in office administration or project management are a plus.
