Job Summary We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of daily operations, ensuring the smooth and efficient functioning of our office environment. Your energetic approach and exceptional organizational skills will support various administrative functions, manage front desk responsibilities, and provide outstanding customer service. Duties Greet visitors warmly at the front desk, providing excellent customer service and maintaining a professional demeanor. Manage multi-line phone systems with efficiency, directing calls accurately and courteously. Handle data entry, filing, and document proofreading to ensure accuracy and organization across all records. Maintain office supplies inventory, place orders as needed, and oversee general office upkeep to promote a productive workspace. Schedule appointments, manage calendars, and coordinate meetings using tools like Google Workspace and Microsoft Office. Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping. Support administrative functions such as copying, scanning, mailing, and managing incoming/outgoing correspondence. Provide clerical support including typing reports, organizing files, and ensuring proper document management. Offer customer support via phone or email by addressing inquiries promptly with professional phone etiquette. Collaborate with team members on special projects requiring organizational skills and attention to detail. Qualifications Proven office management or administrative experience in a fast-paced environment. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools. Experience with QuickBooks or other bookkeeping software is highly desirable. Excellent organizational skills with the ability to prioritize tasks effectively. Exceptional communication skills; bilingual abilities are a plus for serving diverse clients. Familiarity with multi-line phone systems and front desk operations. Demonstrated clerical experience including data entry, proofreading, filing, and calendar management. Knowledge of office procedures such as photocopying, mailing, and maintaining office supplies inventory. Strong customer service orientation with professional phone etiquette and support skills.
